The type of personal information we collect

We currently collect and process the following information:

  •  Personal identifiers, name, email address, phone number, council name, precept and electorate figures.
  •  If submitting an online request for help we will also collect your role and the subject and description of your query.

How we get the personal information and why we have it

The personal information we process is provided to us directly by you or another Council member .

We use the information that you have given us in order to provide our membership services to you:

  • To deliver services including to understand your needs
  • To confirm your identity to provide some services
  • To contact you by post, email, telephone or using social media
  • To help us to build up a picture of how we are performing
  • To enable us to meet legal and statutory obligations
  • To maintain our accounts and records
  • To seek your views, opinions or comments
  • To notify you of our services and events

We may share this information with our trusted associates. This may include providing specialist support or offering third party services, eg websites.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting us
(b) We have a contractual obligation.
(f) We have a legitimate interest.

How we store your personal information

Your information is securely stored.

We may keep some records for an extended period of time, for example, to support HMRC audits or provide tax
information. We may also have legal obligations to retain some data in connection with statutory obligations.

In general, we will endeavour to keep data only for as long as we need it and will delete it when it is no longer needed.

Additional Services

We offer additional services to members such as training, payroll and audit services. In respect of these additional services, where your personal information is needed, we will explain in more detail the nature of the service and seek your consent to proceed.

Your data protection rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information.

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
